Program Manager – Level 1
Date: March 2007
Department: Program Management
Exempt Supervisor: Program Manager Supervisor
Function:
Serve as the single point of contact between the customer and the various groups within HiTEM to meet customer schedules, specifications and expectations: be the voice of the customer to HiTEM and be the voice of HiTEM to the customer. Reports to Program Manager Supervisor, Director of Program Management, Director or VP of Sales and Marketing, or CEO as available.
Primary Responsibilities (internal customers):1. Complete Program Management Training Matrix for Level 1 and demonstrate proficiency in knowledge and execution of those topics.
2. Manage accounts:
· Quotation quarterbacking
· Backlog maintenance
· RMA maintenance
· Coordinate and submit proper documents for customer approval of alternative parts.
· Verify test equipment in place to prevent delays in production. Notify customer of needed replacement fixtures as necessary.
· Send a “Hot List” to Receiving, Receiving Inspection, or Purchasing when a component is needed immediately in order to expedite components to kits to prevent delays to the production schedule.
· Sort Engineering Change Orders (ECO) and temporary deviations to coordinate delivery changes and cost impact changes. Communicate these to the customer and customer team as required.
3. Manage Sales Order Process:
· Call New Product Introduction (NPI) meetings as necessary.
· Ensure adherence to manufacturing contracts and/or materials agreements.
· Coordinate commitment dates.
· Review material shortage requirements with purchasing to ensure on-time delivery.
· Handle documentation requirements from customer.
· Manage customer purchase orders, including all aspects of PO Acceptance meetings.
· Update production schedule containing: customer and assembly number, assembly rev., customer expected ship quantity, and agreed upon ship date to ensure customer expectations are understood production is fully informed of finalized commitment.
4. Lead Customer Team to assure all expectations of the customer are being met.

· Coordinate production schedules and manufacturing issues
· Analyze purchasing issues
· Manage documentation issues
· Coordinate meetings to dispose of scrap, damaged, and/or incorrect parts, as required.

5. Submit Reports to senior management:
· Open Order Status Report (including RMA’s)
· Program Review
· Aging Report
Primary Responsibilities (external customers):1. Build influential relationships with customer decision makers
2. Maintain an updated customer contact list and database in XERP
3. Conduct customer meetings. Publish agenda and take notes for publication after meeting.
Qualifications: Education· No minimum requirement. A four-year degree in Business, Engineering or related field is recommended.
